One strategy that has proven to be effective at prioritising tasks is task batching, which is similar to time blocking and uses some of the same principles, setting aside time to complete certain types of tasks in one batch.

 

What is task batching?

 

Task batching is an organisation and productivity strategy that involves grouping together similar types of tasks to complete in one go without shifting focus. This technique can help you improve your time management skills, prevent multitasking, and increase focus and productivity.

 

For example, rather than answering emails or attending meetings at different times throughout the day, you could schedule them in one batch so that you can focus solely on other tasks without any interruptions.

 

How do you effectively task batch?

 

●      Prioritise your to-do list - identify the most urgent and important tasks that need your attention first. Categorise tasks into similar groups such as type of actions (responding to emails and calls), deadlines (the most urgent tasks), projects (tasks set around a similar theme),or other organisational method that makes sense to you.

●      Block off time in your calendar - commit to completing one batch of tasks at a time, within a set time frame. Finish one batch before you move onto the next, but make sure you have regular breaks throughout the day to keep yourself motivated.

●      Colour code each batch - to help plan tasks within your calendar, you can set colours for each kind of task to establish when you have meetings, admin time, or are focusing on more intent tasks.

●      Do this each week to get into the habit - once you get into the rhythm of task batching, you will find it easier to understand which tasks can be grouped together and how long each task usually takes to complete before setting it in your calendar.

It takes a lot of cognitive effort to switch between different kinds of work, which wastes valuable time adjusting to a new action rather than working more effectively when your brain is already in a rhythm.

 

●      Improves focus by reducing distractions - blocking out time for meetings and emails removes these interruptions during other times of the day, allowing you dedicated time to focus on one type of action.

●      More effective time management - task batching encourages you to plan for the day and week ahead, setting aside the correct amount of time for each task, and preventing scheduling clashes or distractions. You can more easily determine which tasks are an urgent priority, what needs immediate attention, and which tasks you can quickly tick off.

●      Reduces stress and burnout - when you know what your plan for the day/week is, you feel more organised and in control. This reduces levels of anxiety and stress around being able to meet deadlines and manage your workload. Having the ability to complete tasks more quickly and efficiently decreases burnout as it prevents working long hours, becoming stressed, and exhausting your brain through constant task switching.

●      Increases motivation - being able to tick tasks off your to-do list more easily boosts feelings of motivation and productivity, encouraging you to continue even when tasks seem difficult to manage at first.
